HR Manager
JOB SUMMARY
To manage the day-to-day HR issues in relation to all HR activities such as recruitment, training, and development, overseeing the management of site industrial labour relations, managing grievance procedures and conflict resolution, while ensuring that the company continues to meet its business and company’s objectives. You will be required to advise business and employees on all Labour related issues, highlighting risks to the business and employees whilst ensuring business objectives are ultimately achieved.
KEY RESPONSIBILITIES
Recruitment
- Recruiting and interviewing potential applicants on experience, skills, and education
- Facilitating new hires for the company such as screening, recruiting, interviewing, and placing candidates.
- Organizing and managing new employee orientation, on-boarding, and training programs
- Performing criminal background checks, verification of qualifications and reference checks as required by company
Administration and Record keeping
- Ensuring legal compliance of all administration and record keeping processes
- Ensuring that all employees have personnel files, and updating of personnel records
Exit Management
- Ensure necessary checklist is completed
- Ensure relevant termination/withdrawal documents to be completed by individual to be submitted to payroll once complete
Contract and Administration
- Ensure relevant contract are drawn up as per legal compliance
- Compiling the relevant Engagement packs, together with the checklist and ensuring all completed documentation is forwarded to Payroll for monthly processing by the stipulated deadline dates
- Attending to site queries
- Contract Period and extension management
- Co-ordinate all Change of Status processes with both salaries and wages monthly
Training and Development
- Arranging quotes and bookings with the relevant service providers, confirmation with the employees regarding the training courses to attend
- Collation of actual training interventions per division and employee, Updating and capturing of all training spend for the month on consolidated spreadsheet
IR Consultation
- Handle IR matters with CCMA – Representation and presentation.
- Handle all grievances / complaints and concerns involving blue and white collar workers
- Ensuring sound employee liaison between employees and management
- Providing advice and problem-solving service to line managers regarding operational HR best practice, policies, procedures, legislation, discipline, grievance and consultations.
- Identify and/or evaluate causes of conflict and propose appropriate corrective action
- Ensuring sound employee liaison between employees and management
- Attend site meetings
Policy and Procedure
- Ensure that proactive labour relations policies, structures and procedures are in place and that they are properly communicated to all, consistently applied and they promote co-operation and respect amongst all levels of staff to achieve stable and healthy relationships.
- Maintain and update all IR policies and procedures, ensuring the enforcement and adherence of these policies and procedures by advising and monitoring management and staff.
- Consult and advise management and employees regarding legislation, policies, and procedures
Maintain sound relationship with representatives from the Labour Department, and any other Service Providers
QUALIFICATIONS AND EXPERIENCE / MINIMUM REQUIREMENTS
- Diploma in Human Resources or related qualification, an HR degree will serve as an advantage
- Minimum of 10 years’ Industrial Relations and Human Resource experience with at least 3 years HR generalist experience
- 6+ years’ experience in a construction site environment
- Understanding of local community and Labour rules and agreements
- Experience in compiling labour packs and representing the company upto dispute resolution forums
- Sound knowledge and understanding of labour legislation in Malawi.
- Strong industrial relations background
